About the role
The Executive Assistant provides a range of high level, confidential executive support and administrative services to senior executive management to facilitate effective and efficient delivery of executive office operations, communications and business activities.
In this role, you will manage the Chief Information Officer’s diary appointments, coordinate travel arrangements, attendance at events and supporting administrative processes. You will also provide high level executive secretarial and administrative support including preparation of briefing notes, presentations, senior management papers, ministerial, government and external stakeholder communications to meet specified timeframes and confidentiality requirements.
You will provide end-to-end coordination of the CIO’s office, including alignment across ELT, Digital Solutions Group (DSG) Directors, and Group Integration Manager. You will triage and prioritise incoming requests, with judgement to resolve or redirect without escalation where appropriate. The role will also support preparation and quality assurance of briefing materials, ensuring alignment to ELT expectations and organisational priorities as well as proactive management of dependencies, risks, and follow-ups arising from key forums (e.g. ELT, governance groups). In this role, you will act as a central coordination point across DSG to ensure consistency of messaging and timely responses.
About you
You will have high level of discretion and judgement in handling sensitive and confidential matters and ability to operate at pace in a high-volume, ambiguous environment with competing priorities. You will bring strong stakeholder management skills, including engagement with senior executives and Ministerial-facing functions.
You will have the ability to support with occasional out-of-hours responsiveness aligned to executive commitments and organisational priorities as well as availability to support during critical incidents (e.g. ICT or cyber incidents), including coordination of communications and executive updates.
You are calm and organised under pressure; able to support with structured and timely responses during incidents; as well as able to act as an effective gatekeeper for the CIO, exercising sound judgement to prioritise, challenge, and redirect requests where required.
